The Executive Assistant position is based in our small R&D belgium office in Hasselt/ Corda Campus.

We needs an organized and proactive Executive Assistant to ensure smooth daily operations. This role is ideal for someone who loves technology, embraces new projects, adapts quickly, and delivers consistent results as a teamplayer. 

What does the job consist?

The main responsibilities are: 

    • Reception Desk & office tasks: phone, visitors welcome, print, scan, mail
    • Travels: book and organise flights, rental cars through the travel agency, hotels and taxi
    • PO & Invoicing: Raise and coordinate customer PO, invoice management, ERP system management, liaise with customers
    • Transport & custom clearance (including with export licence):book and/or organize transport, including shipments of products customers with FEDEX or other carriers, manage import custom invoices
    • Purchasing:  order clean room & other supplies upon request – maintain stock overview. Order Office & kitchen supplies to keep stock updated
    • Accounting: scan & book invoices in our financial system (Venice), link bank payments to invoices (booking of CODA files), support accounting tasks (with external accountant and internal finance service) for monthly and yearly closings, expense notes: manage employees expense notes
    • Safety & Security (EHS): administrative tasks related to safety and security, including waste collection and data collection for CO2

Requirements & qualifications

For this role, we are looking for a self-starter with ability to structure & solve problems, communicate clearly, manage priorities and take initiatives. The ideal candidate will have:

    • At least 3 years of proven similar experience
    • Outstanding Organizational Skills with ability to manage multiple priorities effectively

    • Tech-Savvy: Proficient with G Suite and able to learn new tools 

    • Confidentiality: ability to handle sensitive information carefully in all professional interactions and documentation.

    • Fluent (written and spoken) in English

    • Strong communication and relationship skills

    • Be reliable, autonomous and adhere to your commitments
